The Calendar Tool Database allows you create events and assign them to Categories. This allows you to create an event calendar or list of events specific to a certain page.
*Note: This database works in conjunction with the following Page Level Tools: Calendar Tool, Upcoming Events Tool, and Facility Use Tool. Information must be entered in the database before these tools can be placed on a page.
Add a Calendar Event to the Database
You must set up at least one category before adding a calendar event. However, additional categories can be added during event creation. See Manage Categories below before proceeding.
- Go to Site Manager.
- Click Tool Databases.
- Click Calendar.
- Select a Category.
- Select a Month and a Year.
- Click the number in the calendar grid to create an event for the day.
- This will take you to the General tab for the event:
- Type the Event Title. (If you leave the title blank, the event description will appear as the title instead.)
- Select a Category for this event. (If you would like to add a new category, select New Category and you will be prompted to add a Category Name.)
- The Date will default to the date you selected; you can edit this later.
- Select the Begin Time.
- Select the End Time.
- If this is a recurring event, select a Repeat option.
- Select how often the event will occur.
- Select the days of the week on which the event is held.
- Select a Repetition End Date.
- Type a Description. (A formatting toolbar allows you to format text, create headings and subheadings, add a hyperlink, make a list, insert a table, etc.)
- Click Choose Image to add an image from File Uploads to the description (optional) and select an Image Orientation. (A Current Thumbnail Image will display; click to edit it.)
- Select event Options.
- Canceled - The title will display with strike-through text on your calendar to indicate that the event has been canceled.
- Allow to RSVP - Allow users to RSVP on the event screen. (Separate multiple email addresses with a comma.)
- Invite a Friend - Allow users to send the event details to a friend.
- Once you have filled out all of the required fields on the General tab, continue adding content in the Location, Equipment, Facility, and Social Stream tabs, or return to them at a later time.
- Click Submit New Event (or click Submit and Add Another Event to continue adding events on that day). To discard your changes, click Back.
Update an Event
To edit your event, click the Event Title in your calendar grid, make your changes, and click Save. (To discard your changes, click Back, or click Delete Event to remove the event from your calendar).
Actions Menu
Select from the Actions menu on the calendar main screen to:
- Manage Locations
- Manage Equipment
- Manage Categories
- Manage Facilities
- Manage Social Stream
- Import Feeds (Requires a Social Stream database setup.)
- Connect with Google Calendar
- Manage Weekly Email Settings
- Set the Time Zone
Manage Locations
The Location tab allows you to associate a location with an event.
- Select Manage Locations from the Actions menu on the top right of your screen.
- Click Add Location.
- Type a Location Name.
- Select whether or not to Allow Double Booking. (This means that you can have two events on your calendar at the same time in the same location.)
- Type an Address.
- Type a City.
- Select a state in the United States and Canada. (Select Other Countries for locations outside the United States and Canada.)
- Type a Zip code.
- Click Add Location.
Your new location will appear in the Location list. Click the Location name to edit it, or click the trashcan in the Delete column to remove it. (This will delete the location from all of the events that it is currently attached to.)
Once you have added a location, you can tie it to any event on your calendar:
- Click the Event Title in the calendar.
- Select the Location tab.
- Select the Location (or select New Location to add a new one).
- Type any Extra Location Text specific to the location, such as directions or a conference room number.
- Click Save. (To discard your changes, click Back.) Or, click Delete Event if you want to remove the event from your calendar.
Manage Equipment
The Equipment tab allows you manage the equipment for your event, such as a projector, AV cart, tablets, etc.
- Select Manage Equipment from the Actions menu on the top right of your screen.
- Click Add Equipment.
- Type the Equipment name.
- Select whether or not to Allow Double Booking. (This means that this piece of equipment can be chosen for more than one event at the same time.)
- Click Add Equipment.
Your new equipment will appear in the Equipment list. Click the Equipment name to edit it, or click the trashcan in the Delete column to remove it. (This will delete the equipment from all of the events that it is currently attached to.)
Once you have added a piece of equipment, you can tie it to any event on your calendar:
- Click the Event Title in the calendar.
- Select the Equipment tab.
- Select the Equipment (or select New Equipment to add a new piece of equipment).
- Click Save. (To discard your changes, click Back.)Or, click Delete Event if you want to remove the event from your calendar.
Manage Categories
When you add calendars to a page with a page level tool, you can select which categories you would like to include on the calendar. You can select one category, any combination of categories, or all categories. If you only have one category, all events will appear on your page level calendar tools.
- Select Manage Categories from the Actions menu on the top right of your screen.
- Click Add Category.
- Type the Category Name.
- Select a Color for the event category: None or Custom Color. You can enter a hexadecimal color code, or click the box to the left of the code to select the color you want.
- Select a Description on Admin Side? option:
- Yes, show the description when the event title is empty.
- No, do not show the description when the event title is empty. Instead, just show the category name.
- Select a In Weekly Email? option:
- Yes, include these events in the weekly events email.
- No, do not include these events in the weekly events email.
- Click Save (or Cancel to discard your changes).
Your new category will appear in the Category list. Click the category name to edit it, or click the trashcan in the Delete column to remove it. (This will delete the category from all of the events that it is currently associated with.)
Manage Facilities
The facility tab allows you to associate a specific room within your building or place on your grounds (gymnasium, cafeteria, athletic field, etc.) with an event.
The accompanying page level Facility Use Tool allows you to display a calendar showing when facilities are in use.
- Select Manage Facilities from the Actions menu on the top right of your screen.
- Click Add Facility.
- Type the Facility name.
- Select whether or not to Allow Double Booking. (This means that this facility can be chosen for more than one event at the same time.)
- Click Add Facility.
Your new facility will appear in the Facility list. Click the facility name to edit it, or click the trashcan in the Delete column to remove it. (This will delete the facility from all of the events that it is currently attached to.)
Once you have added a facility, you can tie it to any event on your calendar:
- Click the Event Title in the calendar.
- Select the Facility tab.
- Select the Facility (or select New Facility to add a new piece of equipment).
- Click Save. (To discard your changes, click Back.) Or, click Delete Event if you want to remove the event from your calendar.
Manage Social Stream
You can easily post events to Facebook with the Social Stream tab within a calendar event. Schedule a date to post the event, or post it immediately.
- Click the Event Title in the calendar.
- Select the Social Stream tab.
- Select which Facebook accounts you would like to Automatically Post to Social Stream.
- Select Immediate One-time Post to Social Stream if you would like the event to be posted to your social stream immediately.
- Type a Link URL (optional) if you want this Facebook post to be linked to something other than the event information.
- Click Schedule Social Media Post Date if you would like to schedule a post date.
- Select One Time Event or Recurring Event.
- Select the date, or if recurring, set when to post to social streams: either the Day of Event, Day before Event, or Week before Event.
- Type Notify Email Address(es); optional.
- Click Save.
Import Feeds
This tool allows import of iCAL calendar feeds. The imported events will display under the Imported Feeds category. Type the Feed URL into the field and click Upload Feed.
Connect with Google Calendar
This tool allows you to connect with Google Calendar. When displaying the events, it will automatically pull your calendar information directly from Google.
- Go to Site Manager.
- Click Tool Databases.
- Click Calendar.
- Click Actions.
- Click Connect with Google Calendar.
Connecting your Google Account to your website will require you to sign into Google and allow us the following permissions:
- Calendar Read-Only
- Calendar Events Read-Only
These permissions will allow Site Manager to display content from your selected Google calendars on your website at your request. Click Sign in with Google to proceed.
- Right click the iCal link and select Copy Link Address/Location to get the address.
- In Google Calendar, on the left side, click Other Calendars, then select Add by URL.
- Paste the address that you copied in step 1 into the URL field.
- Click Add Calendar.
- The calendar will take a few minutes to import if you have a large number of events.
- Once it's imported, you will see the new calendar on the left side of your calendar, listed under Other Calendars.
Weekly Email Settings
Notify users of calendar events via a weekly email. Include all of the events scheduled that week, or select the individual events you would like to include in the email. You can also set up multiple weekly emails to be sent on different days of the week.
- Click Tool Databases.
- Click Calendar.
- Click Actions.
- Click Weekly Email Settings.
- Type a Subject Line for the email. If you leave it blank, your subject line will be: Your organization's name - Upcoming Events.
- Select a Banner Graphic at the top of the weekly email. Select Default Banner Library Image if you want to display the current default banner, or select Do Not Display a Banner Graphic if you want the email to be sent with no banner.
- Type the contents of the email.
- Select Include Category. If checked, each event in the weekly email will have its respective category displayed in parentheses after the event title.
- Select Include Event Descriptions. If checked, each event will have its respective description displayed.
- Select which Day of week to send weekly email. It will be sent at 4:00am CST on that day.
- Select # of days worth of events to include in the weekly email.
- Select Turn Off the Weekly Email, regardless of which day is scheduled to run above if you want stop the weekly email.
- Type an email address in the Send a test email to test the email before sending.
- Click Save.
*Note: You can edit which categories are displayed in the weekly email under the individual Category properties. See Manage Categories above.
Time Zone
Selecting the appropriate time zone for your account is important for those users who choose to utilize the iCal feature. It will ensure that the dates and times represented in your calendar are for your local time zone. The iCal format allows users to plug your website calendar(s) into any product that supports the iCal format - for example, Microsoft Outlook.
- Go to Site Manager.
- Click Tool Databases.
- Click Calendar.
- Click Actions.
- Click Timezone.
- Select Your Region of the world. If you are in the United States or Canada, choose America.
- Click Continue.
- Select Your Timezone by selecting the city closest to you that is in the same time zone.
- Click Save Timezone.
